Edit workflow

Please allow us to edit workflows so we can tweak existing workflows, especially as more functionality rolls out.

I am echoing this request from many, many years go.

My organization is trying to utilize workflow designer to trigger thank you call actions for our fundraisers. However, as we are in the testing phase, I am frustrated that once a workflow is activated, you cannot edit the criteria, nor can you SEE the criteria selected, just the number of selections. I am also frustrated that copying the workflow does not bring over the criteria. What a waste of time for admin.

    Additional request:
Please add additional criteria for selection, including appeal codes. We would like to update our workflows each year to bring in gifts attached to appeal codes.

I wish the commenters below could see that this is something still not address halfway through 2026. My org is currently using Workflows as a means to streamline stewardship and cultivation in our annual and mid-level giving program. I activated the workflow at the same time we were sending out our spring DMs with only three out of eleven emails for a new donor series. Unfortunately, I am not able to now add additional emails to this workflow, and the donors who are within the workflow will not be added to any new one I create. I'm struggling to understand why BB is implementing so many changes to the database without acknowledging the important pieces that actually streamline fundraising efforts, like workflows, or having the ability to set a min. donation amount on an optimized donation form. Frankly, this is why there are now so many competitors in the market. BB is completely behind the 8-ball on this, and needs to start listening to customers. No one has been able to tell me if workflows are part of the new software rollouts, but it absolutely should be. Do better, BB. Its ludicrous that I am complaining about something that was brought to your attention SIX years ago.

I can't believe this suggestion is still sitting here not being addressed be BB. I have a new logo, footer, and updated URL link to add to a workflow letter and a task that should have taken 5 minutes took me 2 hours. Instead of updating a simple letter, I had to copy the letter, copy the workflow, and then figure out how to configure the lists it pull from to avoid resending the new letter to people who already received the old one. What a mess! BB, please fix this. It's not hard!!!

The help guidance in NXT says you can edit workflows, but the options is not actually there in the ellipses.

Yes. I am especially antsy to simply RENAME the workflow. Please allow at least that functionality.

I know I'm late to the conversation, but I would like to echo some of the previous statements on how helpful it would be to edit workflows. It would be especially helpful to be able to edit the fundraiser the actions are assigned to in workflows. It is frustrating to not be able to update that within the workflow when staff members leave.

It would be beneficial to edit workflows in relation to sending emails to donors (i.e. Welcome Email Series to New Donors). If updates or tweaks need to be made to the email templates, it would be nice to be able to replace them in the existing workflow instead of have to create a new workflow for every update/tweak.

I agree with Catherine's explanation, thanks!

This is very helpful information! @Cheryl if there isn't an Idea already out there, could you add one for "Being able to add the same workflow to a constituent a second time"? That way we have a specific idea to track that is a tad different from this one. We originally limited the workflows to only being applied once to keep this from "accidently" happening without the user realizing it, but it sounds like we have more and more use cases coming up where it would be helpful to be able to apply the workflow again.

Sometimes workflows do not work as expected and we may need to correct them, or update the actions being added, or change the staff actions are assigned to as staff and roles change. As new functionality is added e.g. automating emails - we may want to add that to existing workflows. We have previously used action tracks and have edited them several times as we tweak or update our donor journeys.

I am in prospect research and often use workflows to note a change in assignment or status. It would be helpful to have a workflow that notes "Unassign Joe per 7/20/20 meeting" and be able to customize that when I next have a meeting with Jane on 7/25/20. Also, some prospects go back and forth between status'. I would like to be able to use a workflow multiple times on a constituent. I have several that are the same workflow but named Workflow-1, Workflow-2, etc. so that I can reuse the workflow.

Hi everyone! For those of you that voted for this, I was hoping you could give me some information on HOW you would like this to work, and what you would want to be able to edit. There are a few ways we could do this, but it will help to know what kind of experience you would want and what options you need. Thank you in advance for any details you can provide!!
