Email event registrants from RE NXT Email Marketing

Using the RE NXT Email Marketing tool there should be an option to email registrants of an event. This would be useful prior to the event to share info about the upcoming event (workshops available, changes to the schedule or location, etc), as well as after the event. It would also be helpful here to be able to filter the email recipient list to either those who attended or those who didn't so that you can send targeted "Thanks for coming" or "Sorry we missed you!" emails.

    I would also like it if there was a setting you check off that would by default make guests constituents, so they could all get the confirmation email, and that could be customized so that it includes instructions for the event attendance, parking, food restriction request etc.

    Hi Samantha and team, Thank you for reaching out for input on this topic.


    Regarding your question about "emailing invitations & registration requests." Our organization would appreciate the option to send email to specific contacts of an organization. This functionality exists in OXL (see snip attached) and is essential for communicating with organization contacts via email.


    Additionally, it would be wonderful if we could create dynamic constituent lists with events so we can use workflow to send out pre and post event communications. To do so we would need to have the ability to create a constituent list that would filter on event "Attending" and "Attended" fields. Along the same lines, if we had the option to schedule this within the event set up that would be even more useful.

    Someone also mentioned survey emails below. This would definitely be helpful. Right now we go outside of the database to send survey emails, which we do for each of our events to participants, sponsors, and volunteers.

    Thank you for the update Samantha! Our event invite criteria is typically based off of past event participation or amount of giving in the past year/several years. It would be handy to send invites/emails based on the type of participation, such as the different fee types.

    Thanks for the update, Samantha! That's great news. Criteria for invitees can vary greatly from event to event. Could be based off of an attribute, a constituent code, a relationship type, or attendance at a prior event. One of example of relationship-based criteria: We serve a church denomination and have thousands of churches in our RE database. Related to those churches are the individual pastors. We very often email to the pastors, sometimes filtering that group down to a specific geographic region. The way we've been doing that so far is creating a location-radius constituent list in the web view, pulling that into database view as a static list, then adding additional criteria to it to limit the constituent list down to only the pastors. Hope that's enough info!

    Would love to be able to send event invitations based on the following
    filters...

    - Class Year / Range of Class Years (i.e. capturing young alumni, 50th
    reunion+ alumni, etc.)
    - Radius around a zip code
    - By donor at $X giving level or within a giving range
    - Event attendees (thinking event surveys)
    - All registrants (regardless of constituency) for "final details"
    reminders

    It would also be wonderful to be able to pre-schedule some of these when we
    set up the event.

    - Final details emails - I usually send these about 24 hours before the
    event. It would be great to be able to sent them up to automatically send
    to anyone who is listed as attending (whether an invited guest/panelist or
    someone who registered on their own)
    - Survey emails - It would be great if we could set these up in advance
    and mark them to either send automatically (for those who track attendance
    in NXT as people arrive) or so we can just hit a button to send to anyone
    who was marked as an attendee after the event

    I also think it's really important to develop a "Who's Attending" list with
    a check box to have it display on the event landing pages. This would be
    huge for Reunions, gatherings in major cities, etc. Otherwise we have to
    keep track of this manually and update a list on the webpage. This leaves
    so much room for human error.

    We will be setting up discovery sessions with prototype reviews in Q1 of next year around the topic of event emails. We'll be looking at this around two workflows:
    1. Emailing invitations and registration requests
    2. Emailing registrants or attendees

    I'll be reaching out to this list of voters when we're ready to setup some calls. In the meantime, if anyone has anything to share around the criteria/filters they use to determine who to invite to their events, that would be welcome information as my team starts to dive deeper into this!

    Is there an update on this? As Events is getting more productive to use in NXT, the inability to use NXT Marketing to communicate with the non-constituents of an event really hampers the potential of Events.

    Yes we really need to be able to email guests as well as actual registrants. I have to turn the guests into constituents to be able to email them via NXT marketing otherwise they will be missing out on vital information for the event

    I was initially thinking just from the Marketing > Email function, but it would be awesome to just go to the Event record itself and be able to generate a message from there!

    Hi Samantha, I think email from within the Event Record would be a game changer for my events staff. Being able to filter by "invited", "registered", "attended", etc. would be extremely helpful as well.

    Hi Samantha, For my Org it would be really useful to be able to filter by Event Participation History in Constituent Lists so that we can them Email through the Email Marketing Tool. At the moment, the create a static participant list isn't enough because we can't link automated emails in Workflow as new participants sign up.
