The notification emails from OLX donation forms include the credit card type (e.g. VISA, American Express, or Apple Wallet, etc) AND also the last 4 digits on the card/account. This was very useful for our Business Office and the General Ledger. The notification emails for gifts made through an NXT donation form just day "Credit card" or "Debit account" next to "Payment Type." Not helpful. Would be great to have more detailed payment info included in the donation notifications again!
Hi Samantha,
Our organization uses the credit card type to attribute the fees to each gift correctly. Since the different credit card types charge different fee amounts we need this information IN Raiser's Edge and not just in Merchant Services. Our finance department charges the fees against each specific fund account for each gift. So we need the fund information AND the credit card type to be together so we can pull that in one report. We do not want to have to waste time pulling the information from two different systems and trying to match it up.
Our organization will NOT be using the optimized forms until the credit card type information is pulled into RE with each gift.
Hi Samantha,
Yes, they include this info in the GL for a number of reasons including
everything you listed. It's also helpful to have during our annual audit
process, or if a donor ever has a question or issue. It's not that we need
it all the time, but we do need to track it every time just in case any
discrepancies or issues arise.
Yes, whenever question arises having card type/last 4 digits is a great help to match payment to correct person/fund/event.
Ex: Mary Smith registers 2 for an alumni event. Her spouse Jim Jones is the alum and she is only a relationship record in db. Her registration will likely be processed as an event on Jim's record. Or when spouse pays a pledge payment, may be put on spouse's record when we know that is the case.
Thanks for adding this Idea!
Followup question - what does your Business Office do with this additional information? Are they using it for reconciliation, or something else? Comparing to BBMS, or RENXT?
