Constituent list filters to include email history

Now that we have the ability to see opens, clicks and bounces on the Email History tab, it would be really useful to be able to use that data as a Constituent list filter.

    I list would be fine but a query always feels better to me. But I'll take a list if that's what we can get!

    Hi it is me again: I thought you would be interested in a detailed list of what I do for this process. I am not moving to Constant Contact or another email provider. I have worked with Net Solutions before it was sunsetted. I was on the EAP for OLX. I was an early adopter of Email Marketing. I am committed to using the system built into RE.

    I dictated my steps involved for exporting just one of the hyperlinks and wow: This morning I realized that it would be beneficial to save as a static query and export from query instead of constituent list as I want to see more emails than simply their primary email so I can import appeals/actions appropriately.


    1. Go to Communications > Email.

    2. Find the email.

    3. Click the Recipients hyperlink.

    4. From the flyout, click Create List.

    5. Save as a new list.

    6. Paste the base email name.

    7. Add Recipients to the start of the name.

    8. Description: Select One-time use from my commonly used prepopulated descriptions.

    9. Set Sharing.

    10. Click Save.

    11. Click Export.

    12. Click Start Export.

    13. Wait for processing to finish.

    14. Click the download hyperlink.

    15. Click Download.

    16. Verify the file downloaded.

    17. Repeat for Opens, Clicks, Transactions, Bounces, and Unsubscribes.

    Here were my biggest pain points: Creating a list removes the user from the email they are working with, forcing constant navigation back to the Communications page. My best solution: Bookmark the direct email page into bookmark bar and keep to the left for easy access.


    Temporary lists require manual naming, descriptions, and permission settings every single time. My best solution: Can copy and paste from notepad if you plan ahead.

    There is no way to export multiple statistics for an email in a single operation. Each email statistic (Recipients, Opens, Clicks, Transactions, Bounces, Unsubscribes) must be exported separately, repeating the same workflow six times. My best solution: Having the steps right infront of me and try not to be interrupted. Keep note on the notepad of the planned naming so I can list where I left off.

    There is no indication of export progress or estimated completion time, particularly for larger exports. The download link is only prominently available for a few seconds after processing, making it easy to miss if interrupted. My best solution: Naming the constituent list before exporting and remembering I can look at the notifications bell if I miss the 5 second window it appears.

    The process generates numerous temporary constituent lists that serve only as an intermediate step before exporting data. My best solution: Trying to remember to delete them as soon as I am done with the project. I'm getting better at this.

    I use power query to merge together the lists from a folder, Select the 5 columns I want to keep and remove the rest, set a priority based on a custom column I create from the name (why I put the stat type at the front of the file name), add a few more custom columns based off the name of the list, sort, dedupe, get my stats from a pivot, Import into RE with Omatic Cloud. Sometimes appeal, sometimes action, sometimes both.

    Some emails might have 3-6 different versions and we send each one twice once to email and once to spouse primary email. . .

    I just want to add to what I opened earlier. Not only do I have to create lists for each type of response but each time I do - it takes me right to lists and then I have to navigate back to email find the email I was just trying to export (they are very simliar so names are nearly identical) and then do it over again after saving everything so I remember where I have left off. I'm looking forward to a solution that can do better sooner.

    Yes! Along with soft bounces and more than 18 months of history too.

    Why is this important to my org? This morning I have to go out to the six emails we sent last week and make a list, download it multiple time to capture how and if they engaged with it, do some Excel magic, use the id to add actions to the records so I can then report on who didn't actually receive it so we can reach out via snail mail.

    In OLX I pressed one button and I could see it all on the appeal tab and query on it.

    Agree, and need to be able to query on email history. It would be so nice to spin up custom lists of people who have or have not opened/clicked/donated on an e-mail in a recent time span. Or be able to cull e-mail addresses from our sends for folks who have not opened in a year. So many things we could do with QUERY ON EMAIL HISTORY. Thank you!

    We use the NXT email client so can see opens/clicks/bounces on an email-by-email basis, and look at-a-glance at the email history section of each constituent record. However, it would be very useful to have a "Summary for Email" category within the Query area which allows us to count numbers (within a specified date range) of emails sent / opened / clicked / bounced / unsubscribed etc. in order that we can a) more easily manage those bounces and unsubscribes; and b) more effectively report on email engagement.

    Please bring this data into a useful format to allow us to create Lists based on the open, click, bounce data so that we can both tidy up the data and create useful segmentations. This seems pretty fundamental!

    Also adding, being able to view and report on all email responses would be fantastic. It would make tracking donor engagement easier, not to mention keeping email data clean.

    It is so tremendously difficult to determine if an email is soft vs hard bounced in the current set up, where you need to create a constituent list of bounces and then systematically/one-by-one go through and put eyes on the Email History tile to view the email sent to see the specifics. It is a best practice to update hard bounce emails as Inactive, the way the system currently stands - the time and effort that goes in to do this (depending on org/list size) can outweigh the benefit. Pretty please give us the ability to easily get the detail we need so we can maintain clean data.

    it would be great to have ability run a report/query for those emails that have hard and soft bounce. It would be easier and to go through it faster and delete those hard bounce emails.

    I need to be able to run a report/query on those emails that have a hard bounce. I will then be able to identify many records that could be deleted.

    Yes! It would be helpful in NXT lists and in database view! I'd like to create an engagement score, and would love to include this.

    Trying to work out if we need to contact constituents again, but can't identify if a segment has opened the past emails or not.

    We desperately need this filter to be added to Constituent Lists! We send emails out based on an engagement percentage of who is engaging with our emails. A process that should take 45 minutes to compile this email list, now takes 3-4 hours!
