We currently use Workflow Designer to send both engagement and solicitation emails, including birthday emails and Circle of Excellence Society notifications based on giving level.
After an email is sent, Workflow Designer successfully adds an action to each constituent’s record. However, there is currently no option within the workflow to automatically mark that action as completed.
As a result, we must go into Database View and run a Global Change to mark these actions complete. For large email sends—sometimes involving 120,000 constituent records—this process can take several hours.
It would be extremely helpful to add an option in Workflow Designer that allows the action created by the workflow to be automatically marked complete once the email has successfully been sent. This would eliminate a time-consuming manual process, improve data accuracy, and make Workflow Designer much more efficient for institutions using it for large-scale email communications.
100% request this. Recently had to go in and update over 300 new donor workflow email actions to "outbound" and "completed" and "completed date", which should have been used on more lucrative disaster tasks but that was the only way to see what actions were truly pending. All Email category action options should be available to set on a workflow option when creating a workflow action
Having just discovered this 'feature', I concur with the comments below. I thought workflow was meant to reduce the number of manual tasks, not increase them.
Yes! We set up automated birthday greetings, and now we have hundreds of incomplete actions that we have to clean up each month! Which wouldn't be a big deal except they show up as bright red "Past Due" actions on all the dashboards.
I totally agree with the proposal. I find it time consuming to go and do it manually by globally changing after all mass mailings. And it's totally unnecessary for the fundraisers to see these Actions as pending in their work centre.

Totally agree! It makes no sense to not have this as part of the Add Action task within a Workflow
