Enhanced Administrative Controls for Donor Portal Donation Forms and Profile Updates

We would like to see expanded administrative controls within the Donor Portal that allow organizations to customize the donor experience while maintaining appropriate oversight of donor-submitted changes.

Current Challenge

Currently, organizations can designate only one standard donation form and one recurring donation form for all Donor Portal users. This limitation significantly reduces the flexibility and usefulness of the portal for organizations that rely on multiple donation forms for different campaigns, initiatives, or donor segments.

In addition, donor-submitted updates made through the portal are often applied without an organization's ability to review and approve changes before they affect constituent records. Many organizations have internal procedures and data governance standards that require staff review before changes are committed to the database.

Proposed Solution

  1. Flexible Donation Form Assignment

Allow organizations to assign multiple donation forms within the Donor Portal.

Possible implementation options include:

  • Assign specific donation forms when sending a donor portal invitation.

  • Assign forms based on donor segments, constituent codes, or groups.

  • Allow administrators to select from multiple approved forms within portal settings.

  • Present donors with a menu of organization-approved donation forms after login.

Example:

A donor who regularly supports a scholarship fund should be able to access the scholarship giving form from their portal, while a monthly donor should be directed to a recurring giving form. Currently, all donors are presented with the same form regardless of their relationship with the organization.

  1. Approval Workflow for Donor-Initiated Changes

Provide an optional review and approval workflow for donor-submitted updates before changes are applied to constituent records.

Examples of updates that may require review include:

  • Recurring gift amount changes

  • Payment method updates (credit card or ACH information)

  • Address changes

  • Email address changes

  • Phone number changes

  • Name changes

  • Other profile updates

Organizations should be able to choose whether updates are:

  • Applied automatically

  • Submitted for staff review and approval

  • Configured individually by update type
